Working with Backorder Release


When working with backorder release and credit card authorizations there are two methods available for you to choose from.  

The first method allows you to include calculated backorder product amounts in the original authorization taken during order entry. This method is helpful if you anticipate back-orders being fulfilled before the credit card authorization expiration.  

The second method allows you to only authorize items that are available for immediate shipment (no backordered product lines) during order entry.  This method is helpful as it does not tie up your customer's funds in authorizations for items that are not currently available.  

Below both methods will be explained, but the decision on which path you choose is yours.

It is important to remember the recommended Status Flow for sales orders using credit card prepayments.  As a reminder the recommended processes are:

Sales Order Entry (P4210)

Release Held Orders (P43070)

Batch Authorization Report (RQ6704201 - single threaded queue)

Confirm Shipments (P4205)

Batch Settlement Report (RQ6704202 - single threaded queue)

Print Invoices (P42565)

Sales Update (R42800 - single threaded queue) 

 

Method 1 - Include Calculated Extended Amount of Backorder Lines in Total to Authorize - Do Not Settle Together

In this scenario we will assume that when the order was taken the system was configured to include backorders in the original authorization, but that the shippable and backordered lines do not settle at the same time.

Step 1

Enter the order which contains backordered product as per the Sales Order with Backordered Lines chapter of this manual. With proper setup of both the Batch Authorization Report (RQ6704201) and the Credit Card Payment application (PQ670041) the authorization obtained will include backordered line totals. If desired you may verify the authorization total in the Prepayment (F004201) table.

Step 2

Process all non-backordered lines on the order through Ship Confirm, Batch Settlement, Print Invoice, and Sales Order Update. At this point the original authorization is consumed and the Prepayment (F004201) table will show the total amount authorized (which will include BO lines) and the total amount settled (which is the sum of the lines shipped). 

Step 3

At some point the item(s) that were on backorder will become available for shipment.  At this point you may choose to release the backorder using the interactive application or the batch report. If the interactive application is used you may choose whether or not to allow the order to continue processing without an authorization.  The standard JDE Backorder release report will update the status of the lines (based on configuration) to a status which the Credit Card Batch Authorization Report (RQ6704201) will look for. When the Credit Card Batch Authorization Report is executed it will obtain an authorization for the backordered lines and advance the status.

Step 4

Ship confirm the released backorder lines.

Step 5

Run Batch Settlement Report (single threaded queue). 

Please be aware that the Batch Settlement Report will advance the status of all sales order lines selected and processed.  If settlement was unsuccessful for any reason (authorization expired, communication issues, etc) you will be advised in the PDF output for the report.  An example is seen below.  We recommend that the output for the report be reviewed each time it is executed so that any issues are found promptly. If the report output cannot be reviewed another option would be to review all records in status 07 utilizing the PQ670041 application.

Step 6

Continue to process the sales order lines through Print Invoice and Sales Order Update.  This cycle may repeat as many times as necessary until all backorder lines are filled for the order.

 

Method 1 - Include Calculated Extended Amount of Backorder Lines in Total to Authorize - Settle Together


In this scenario we will assume that when the order was taken the system was configured to include backorders in the original authorization and that the shippable and backordered lines do settle at the same time.

Enter the order which contains backordered product as per the Sales Order with Backordered Lines chapter of this manual. With proper setup of both the Batch Authorization Report (RQ6704201 single threaded queue) and the Credit Card Payment application (PQ670041) the authorization obtained will include backordered line totals. Step 3

Now, the item(s) that were on backorder will become available for shipment.  Since the original authorization has not been consumed yet (shippable lines have shipped, but not settled) and it included the amount of the backordered lines it should not be necessary to obtain a new authorization for the released lines. When the backorder release is executed the items will be released for shipment and the line status will be advanced. 

Step 4

Ship confirm the released backorder lines. 

Step 5

Now, run Batch Settlement (single threaded queue). Since all lines (shippable and backorder) are settling at the same time the original authorization obtained (which included back-ordered lines) will be consumed and should be sufficient to cover all lines.

Please be aware that the Batch Settlement Report will advance the status of all sales order lines selected and processed.  If settlement was unsuccessful for any reason (authorization expired, communication issues, etc) you will be advised in the PDF output for the report.  An example is seen below.  We recommend that the output for the report be reviewed each time it is executed so that any issues are found promptly. If the report output cannot be reviewed another option would be to review all records in status 07 utilizing the PQ670041 application.

Step 6

Continue to process the sales order lines through Print Invoice and Sales Order Update.  This cycle may repeat as many times as necessary until all backorder lines are filled for the order.

 

Method 2 - Do Not Include Calculated Extended Amount of Backorder Lines in Total to Authorize

Step 1

Enter the order which contains backordered product as per the Sales Order with Backordered Lines chapter of this manual. With proper setup of both the Batch Authorization Report (RQ6704201 single threaded queue) and the Credit Card Payment application (PQ670041) the authorization obtained will not include back-ordered line totals. If desired you may verify the authorization total in the Prepayment (F004201) table.

Step 2

Process all non-backordered lines on the order through Ship Confirm, Batch Settlement, Print Invoice, and Sales Order Update. At this point the Prepayment (F004201) table will show the total amount authorized (which will not include BO lines) and the total amount settled (which is the sum of the lines shipped).

Please be aware that the Batch Settlement Report will advance the status of all sales order lines selected and processed.  If settlement was unsuccessful for any reason (authorization expired, communication issues, etc) you will be advised in the PDF output for the report.  An example is seen below.  We recommend that the output for the report be reviewed each time it is executed so that any issues are found promptly. If the report output cannot be reviewed another option would be to review all records in status 07 utilizing the PQ670041 application.

Step 6

Continue to process the sales order lines through Print Invoice and Sales Order Update.  This cycle may repeat as many times as necessary until all backorder lines are filled for the order.

No matter which method you choose to use to work with backorder release and prepayments, it is recommended that the setup in both the Batch Authorization Report (RQ6704201 single threaded queue) and the Credit Card Payment application (PQ670041) is consistent.  Meaning it is not recommended to configure the Batch Authorization Report to include back-ordered lines and then configure the Credit Card Application to exclude back-ordered lines.  This may result in unexpected behavior.
